Privacy Policy — Omni Stocktake
Last updated: 13 September 2026
This Privacy Policy explains how Omnisoft Technologies Pte. Ltd. (“Omnisoft”, “we”, “us”, “our”) collects, uses, shares and protects personal data in connection with the Omni Stocktake mobile application and the related services.
Omni Stocktake is an asset stocktake tool that we provide to your employer (“the Company”). Your employer decides which assets are counted, who counts them and how the results are used. We operate the technical platform on your employer’s behalf.
This policy describes our practices as the technology provider. Your employer is a separate data controller for the records that belong to your work with them (the asset register, stocktake campaigns and count results). For questions about those records, contact your asset administrator first.
1. Who we are
- Legal name: Omnisoft Technologies Pte. Ltd.
- UEN: 202126087E
- Registered office: 6 Eu Tong Sen Street, #08-03, The Central, Singapore 059817
- Contact: privacy@omnisoftsolution.com
2. Data we collect
2.1 Account data
- Your name, work login (usually your work email) and user id, provided by your employer when they create your account. The app never creates accounts itself.
2.2 Device data
- The phone’s manufacturer and model, its operating system version, the app version, and a random installation identifier that the app generates on first sign-in. Your employer’s system uses these to list the phones that are signed in (“Sync Devices”) and to sign a phone out remotely. The installation identifier is not an advertising identifier and is reset when the app is reinstalled or when you use Lepas perangkat (Release device) in Settings.
2.3 Location data
- When you submit a count, the app reads your current GPS coordinates at that moment only, if you have granted location permission. The coordinates are attached to that count so the stocktake shows where the asset was found. Counting works without location; the app does not track your location in the background.
2.4 Photos
- A count requires an evidence photo of the asset taken with the phone’s camera. The photo is attached to the count and sent to your employer’s system. The app does not read your photo library.
2.5 Count records
- The asset you counted, the status and condition you selected, the location and department you observed, any note you typed, the time of the count, and the data in 2.3 and 2.4. Counts made while offline are kept in a queue on your phone and sent when a connection is available.
2.6 Biometric sign-in
- If you enable Face ID, Touch ID or fingerprint sign-in, the check is performed entirely by your phone’s operating system. The app never receives, stores or transmits any biometric data. It only learns whether the operating system confirmed your identity.
2.7 What we do not collect
- We do not read your contacts, messages, photo library, microphone or files outside the app.
- We do not use advertising identifiers, advertising networks or analytics SDKs.
- We do not sell personal data.
3. Why we collect this data
| Data | Purpose |
|---|---|
| Account data | Sign you in to your employer’s Omni Stocktake system and attribute counts to you. |
| Device data | Show your employer which phones are signed in and let them revoke access. |
| Location data | Record where an asset was found, on your employer’s instruction. |
| Photos and count records | Provide the stocktake service your employer has contracted for and evidence the count. |
4. Legal bases
- Contract — to perform the services your employer has engaged us to provide.
- Legitimate interest — of your employer in an accurate, evidenced asset register, and of Omnisoft in keeping the platform secure.
- Consent — for location access, which you grant or refuse in your phone’s permission prompt and can change at any time in your phone’s settings.
- Legal obligation — where applicable (statutory record keeping).
5. How long we keep it
- Count records, photos and location are stored in your employer’s Odoo-based system as part of the asset register and retained under your employer’s policy.
- Device data is kept while the phone is signed in and for audit afterwards; your employer can deactivate a device at any time.
- On your phone, the offline queue and cached campaign data are deleted when you sign out or release the device, and when you uninstall the app.
6. Who has access to your data
- Your employer’s authorised asset administrators, through the Odoo web interface.
- Omnisoft staff, only to operate the platform, investigate incidents or comply with legal obligations.
- Sub-processors listed in Section 8.
- Authorities, only if required by law and to the minimum extent necessary.
7. Where your data is processed
Your employer’s Omni Stocktake system runs on infrastructure operated by Cloudpepper (an Odoo hosting provider) in Singapore. The company-code lookup service that connects the app to your employer’s system runs on the same infrastructure.
8. Sub-processors
| Sub-processor | Role | Location |
|---|---|---|
| Cloudpepper | Hosting of the Odoo platform | Singapore |
9. Your rights
Depending on your jurisdiction you may have the right to access, correct, delete or restrict the processing of your personal data, to object to processing, to data portability, and to lodge a complaint with a supervisory authority (for example the PDPC in Singapore).
- For data your employer controls (the asset register, campaigns, count results): contact your asset administrator.
- For data on your phone: Settings → Keluar (Sign out) or Lepas perangkat (Release device) removes it.
- For anything else, or if you no longer have access to the app: see the Data Deletion Request page or email privacy@omnisoftsolution.com. We respond within 30 days of a verified request.
10. How we protect your data
- All traffic between the app and your employer’s system is encrypted in transit (TLS 1.2 or later). The app refuses to connect over plain HTTP.
- Each customer’s data is stored in an isolated Odoo database.
- The sign-in token on your phone is kept in the operating system’s secure storage and is revoked when you sign out.
- Access to production systems is restricted to named staff and logged.
11. Children
Omni Stocktake is intended for employees of our customer companies. We do not knowingly collect personal data from anyone under 16.
12. Changes to this policy
We may update this policy from time to time. The “Last updated” date reflects the most recent revision.
